2. What Data We Collect

We collect the following categories of personal data:

Account data

  • Name and email address (provided at registration)
  • Profession and English level (provided in settings, optional)
  • Password (stored as a bcrypt hash; we cannot see your plain-text password)

Activity data

  • Lesson completions, quiz scores, and XP earned
  • Game session results
  • Dialog session messages and scores
  • Vocabulary words you save and review ratings
  • Rephrase Coach input and outputs
  • Progress snapshots (radar scores)
  • Streak and last-active date

Technical data

  • API usage logs (for billing and abuse prevention): request counts, token counts, AI model used, and timestamp
  • Standard server logs: IP address, browser type, request path, and HTTP status codes

We do not collect payment card details directly. Pro upgrade payments are handled manually via third-party payment methods (PayPal, bank transfer, etc.).

3. How We Use Your Data

We use your data to:

  • Provide the SpeakEvo service, including AI-powered features
  • Personalise your experience (e.g. auto-filtering tech lessons for tech professionals)
  • Calculate XP, radar scores, streaks, and capability badges
  • Monitor API usage for billing and fraud prevention
  • Send transactional emails (account confirmation, Pro activation, expiry reminders)
  • Respond to support requests
  • Comply with legal obligations

We do not use your data for advertising, profiling for third parties, or to train AI models.

4. AI and Third-Party Processing

SpeakEvo uses the AI service provider to power AI features. When you use AI features (dialog practice, rephrase coach, simulators, etc.), the text you submit is sent to secure AI servers for processing. The AI provider processes this data under their own Privacy Policy.

We have configured our use of the AI API so that conversations are not used to train AI training datasets. The AI provider retains API request data for a limited period for safety and trust purposes in accordance with their API usage policies.

We do not share your personal data with any other third parties for marketing, advertising, or data brokering purposes.

5. Data Retention

We retain your account and activity data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where we are required by law to retain it for longer.

Server logs are retained for up to 90 days. API usage logs are retained for up to 12 months for billing and compliance purposes.

6. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data (you can update most data in your account settings)
  • Delete your account and associated personal data
  • Export your activity data in a readable format
  • Object to certain types of processing

7. Data Security

We take reasonable technical and organisational measures to protect your data, including:

  • HTTPS/TLS encryption for all data in transit
  • Password hashing using bcrypt
  • JWT tokens with expiry for authentication
  • Database access limited to the application server
  • API keys stored in server-side environment variables, not in client-side code

No method of transmission or storage is 100% secure. In the event of a data breach that affects your personal data, we will notify you within 72 hours of becoming aware of it.

8. Cookies

SpeakEvo stores your authentication token in the browser's localStorage. We do not use tracking cookies, advertising cookies, or third-party analytics cookies. If we add analytics in future, we will update this policy and request consent where required.

9. Children

SpeakEvo is not directed at children under 16. We do not knowingly collect personal data from children under 16. If you believe a child under 16 has created an account, please contact us at info@speakevo.com and we will delete the account promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page with a new effective date. For material changes, we will notify registered users by email.
